Kits & vans

A kit is a named bundle of gear that always travels together - the site-day kit, the camera bag, the first-fix box. Build one under Kits, then check the whole thing out to a person in one move; every item still gets its own ledger line.

Folders can be flagged as vehicles (edit the folder, tick “this is a vehicle”). A van folder behaves like any location, but it reads as a van everywhere - web, phone, reports - so “what’s in Van 1?” is one glance.

To audit a van: stand in the yard, open the app, pick the van under Count, and walk it - scan or tap what you see. Whatever you didn’t see is your discrepancy list. Two minutes, works offline.

Possession checks

Open a person’s page and press “Ask to confirm.” They get a link - no app, no account needed - listing what the register says they hold, and confirm from their phone: “yes, still got these.”

If they dispute an item, nothing is silently changed. The dispute lands on your attention list and a human decides - check it back in, reassign it, or write it off. The ledger only ever records what someone actually chose.

Offboarding: the same person page shows everything they hold with a printable custody sheet, so the leaving-day conversation is a checklist, not an argument.

Assistants & the API

Every plan includes API keys (Settings → API keys). A read-scoped key is enough to connect Claude, ChatGPT or anything MCP-speaking: point it at https://api.itemtally.com/mcp with the key as the bearer token, then ask “what’s low in the stockroom?”

Assistants can also act - adjust stock, check gear out or in - but only with a write-scoped key, and every action previews first and runs only after you say yes. AI suggests; a human confirms; the ledger is never auto-written.

Inside the app, press ⌘K and choose “Ask the register” to ask the same plain-language questions without leaving the page.
